Keep the prescribed registers in physical or electronic form and retain them for five calendar years. The central formats include Wages Forms I, IV and IX, OSH Forms XIII to XV, Form XIX for accidents, Form XX for leave with wages, and Social Security Form XXII. Social Security and OSH records must remain within 3 km of the workplace.

What changed

The 2026 rules prescribe unified formats and allow physical or electronic records. Cross-deeming prevents duplicate registers where the Wages Rules register already satisfies the OSH or Social Security rule.
