__________________________________________________________________________________ File No.:Z-11/12/1/Misc.Matter/2024-MSU Date: .10.2025 Circular Subject: Use of Open / External Artificial Intelligence (AI) Tools for Official Work.   It has come to the notice of the Competent Authority that many of the Dealing Assistants/Other officials are using publicly available Artificial Intelligence (AI) tools such as ChatGPT, Deepseek, Gemini etc. in their day to day official work. While these tools can be useful in some specific cases but their general usage poses significant risks to data security and leakage of sensitive information across the globe even before the approval of competent authority.   The Competent Authority has taken it seriously and directed that all the employees of ESIC to refrain themselves from using open or external AI tools—such as ChatGPT, DeepSeek, Copilot, Midjourney, DALL-E, Jasper, Adobe Firefly etc. for official noting, drafting or data analysis due to the risks of leakage of sensitive data and confidential information related to stakeholders. For any use of AI tools for official purposes approval in writing should be obtained from IC(ICT)/ CTO/ICT Division of Hqrs. All officers and officials are to ensure that such use of AI tools for generic noting/ drafting must be refrained at all levels.   Further, sharing of data in the open internet is a violation of data sanctity and leads to sensitive data being leaked in the open internet. Employees(officials) must be sensitized and made aware of the risks of such activity. ICTD HQ will enforce all tools to forbid open access in line with the IT and Security policy respectively.   This issues with the approval of the Director General.
