Zonal Heads are required to deliberate on various operational aspects, including the status of surrender and cancellation cases, compliance audits for 2023-2025, grievance redressal, fraud cases, contribution defaults, and the functionality of the online surrender module. Zonal Heads must submit the minutes of these monthly reviews to the Head Office by the 10th of the following month, with reporting requirements effective from April 2026.

Subject: Instructions for Monthly review of the Regional Offcies on Exemption matters Madam/Sir,
As per Para 6(c) of Chapter 1 of the new simplified SOP on EPF Exemption, approved by the 239th CBT, the Zonal Office is required to take a monthly review of the Regional Offices.
The following issues may be deliberated by the Zonal Heads:
- Status of ZO wise pendency of Surrender and Cancellation cases and list of such cases pending with HO.
- Status of cancellation orders pending with State Governments and HO/Central Government.
- Status of grant of exemption cases- cases where relaxation orders have been issued and those pending at Head Office.
- ZO wise Compliance Audit status for the year 2023-2024 and 2024-2025.
- Grievances. Credit of past accumulations in cases of surrender and cancellation of exemption. Cases where members have suffered loss of interest on account of transfer of past accumulation to EPFO.
- Cases of frauds and action taken in this regard.
- Defaults on contribution and interest payments.
- Issue tracker cases. IT reforms.
- Online surrender module- whether functional and difficulties being faced in this regard by the field offices.
- Cases of assessment, recovery of dues, damages, interest and surcharge.
- Conducting outreach programmes and ensure sharing of best practices followed by Trusts with all establishments under their jurisdiction.
- Timely submission of online returns.
- Such other issues which the Zonal Head may find important for monthly review as part of the monitoring mechanism
- Accordingly all the Zonal Heads are therefore requested to submit the minutes of the monthly review with respect to progress on the above aspects beginning from April, 2026.
The minutes may be submitted by 10th of the following month.
